Our pavilions for community bookings

Bayside now has 5 pavilions available for community bookings in Beaumaris, Sandringham, Brighton East and Hampton East.

All pavilion bookings are subject to availability. Bookings are not complete until you have submitted an online application and received a reply email of confirmation. Please allow 10 working days for your application to be considered and processed. All pavilions below can be booked on a casual (one off) basis. Fees are charged by the hour and bookings must include the set up and pack down time for your event in your application. 

We have provided venue details on each Pavilion below. Please read through pavilion information carefully to ensure you choose a pavilion that suits your requirements. Refer to our Frequently Asked Questions for any additional information.

Please note: Pavilions are only available Monday to Friday (9:00am to 3:00pm) due to community sport allocations.

The Beaumaris Reserve Pavilion provides a perfect space for events such as community workshops, educational training and corporate meetings.

The pavilion is 500m from local cafes and shops at the Beaumaris Concourse. It includes a kitchenette, and social room that overlooks Beaumaris Reserve.

  • Kitchenette available - it includes a sink with an additional boiling water tap, dish washer and small refrigerator

Beaumaris Reserve Pavilion uses an electronic key system with access via a SALTO key. They key will be made available for collection from our office at 76 Royal Avenue, Sandringham the day prior to your event between 9am to 5pm. Keys can be dropped off the following day to the office between 9am to 5pm. Keys can only be picked up on weekdays, Monday-Friday.

Parking is available through an entrance on Reserve Road past the Beaumaris Community Centre parking. There is also parking available on Cloris Avenue.

20 Keating St, Beaumaris VIC 3193

The Donald MacDonald Reserve Pavilion provides a perfect space for events such as community workshops, educational training and corporate meetings.

The pavilion is a 300m stroll from Black Rock Beach. It includes a kitchenette, and social room that overlooks Donald MacDonald Reserve.

  • Kitchenette available - it includes a sink with an additional boiling water tap, dish washer and small refrigerator
  • Chairs x 100

  • Trolley's available for moving table and chairs

Donald MacDonald Pavilion uses an electronic key system with access via a SALTO key. The key will be made available for collection from our office at 76 Royal Avenue, Sandringham the day prior to your event between 9am to 5pm. Keys can be dropped off the following day to the office between 9am to 5pm. Key can only be picked up on weekdays, Monday-Friday.

Parking is available through an entrance on Keating Street. There is also parking available on Stawell and Fifth Street.

7-33 Duncan St, Sandringham VIC 3191

The RG Chisholm Pavilion provides a perfect space for events such as community workshops, educational training and corporate meetings.

The pavilion is a 500m stroll from local shops and a supermarket. It includes a kitchenette, and a social room that overlooks RG Chisholm Reserve.

  • Kitchenette available - it includes a sink with an additional boiling water tap, dish washer and small refrigerator
  • Chairs x 100 (with 18 additional bar stools)
  • Rectangular tables x 7 (8 seater)
  • Additional 6 x tall bar tables (4 seater)
  • Male Toilets - two hand basins and two toilets in cubicles (one of which is accessible)

RG Chisholm Pavilion uses an electronic key system with access via a SALTO key. The key will be made available for collection from our office at 76 Royal Avenue, Sandringham the day prior to your event between 9am to 5pm. Keys can be dropped off the following day to the office between 9am to 5pm. Key can only be picked up on weekdays, Monday-Friday.

There is limited onsite parking at RG Chisholm Reserve. There is also street parking available on Duncan Street and Alfreda Street.

1 Breen Dr, Brighton East VIC 3187

The Dendy Park Lower Pavilion provides a perfect space for events such as community workshops, educational training and corporate meetings.

The pavilion is an 800m walk from Patterson Station and local shops. It includes a social room that overlooks Dendy Park.

There is onsite parking on Breen Drive. Alternatively, there is also street parking available on Dendy Street and Cummins Road.

2 Little Ave, Hampton East VIC 3188

The AW Oliver Pavilion provides the perfect space for events such as community workshops, educational training and corporate meetings.

The pavilion is an 800m walk from local shops and a supermarket. It includes a bar area, and a social room that overlooks AW Oliver Reserve.

Facilities/ Equipment:

  • Bar area available - this includes a sink, dish washer and limited fridge space.
  • Chairs x 40
  • Rectangle tables x 5 (8-seater)
  • Male Toilets - two hand basins and two toilets in cubicles (one accessible)
  • Female Toilets - two hand basins and two toilets in cubicles (one accessible)
  • Accessible Toilet - one hand basin, one accessible toilet and one baby change table
  • 2 x Fujitsu split systems
  • Samsung 55" flat screen TV - 2 x HDMI ports and 3 x USB ports
  • 20 x car spaces (1 of which is accessible)
  • Automatic lights

Access:

AW Oliver Pavilion uses an electronic key system with access via a SALTO key. The key will be made available for collection from our office at 76 Royal Avenue, Sandringham the day prior to your event between 9am to 5pm. Keys can be dropped off the following day to the office between 9am to 5pm. Key can only be picked up on weekdays, Monday-Friday.

Parking / Getting There:

There is onsite parking through an entrance on Little Avenue. Alternatively, there is also street parking available on Little Avenue and Summit Avenue.

Application

The Council may, at its discretion, refuse to accept any application for hire of any Council Facility.

Requests for casual use should be on the appropriate online application form. Please allow 10 working days for your application to be considered and processed. Once processed, a confirmation letter will be forwarded to you.

Payment

The payment details will be set out in the Confirmation Letter and include the cost of any insurance cover arranged by the Council, Cleaning fees and the hire of the pavilion fee. The fees must be paid in full, within 7 days of receiving the Confirmation Letter, unless otherwise stated in the Confirmation Letter.

Insurance

The Hirer must obtain Public Liability Insurance Cover. You will be asked to produce a receipt for proof of such cover at the time of submitting your online application. If you do not possess your own Public Liability Insurance, cover can be obtained through Council’s insurers and a copy of the application form and policy can be provided upon request.

Indemnity

Council shall not be liable for any injury suffered at any function, nor for any loss or damage sustained by the Hirer or any person, firm or corporation entrusting to or supplying any article or thing to the Hirer by reason of such article or thing being lost, damaged or stolen. The Hirer hereby indemnifies the Council against any claim by any such person, firm or corporation.

Pavilion Usage

Pavilions may only be booked between 9:00am and 3:00pm, Monday to Friday. These times include setup and pack down of event. Under no circumstances is the hirer to access the facility for purposes other than the approved use.

The use of the Pavilion is limited to the areas outlined on your Confirmation Letter.

Cancellation fee
  1. A $105.40 cancellation fee will apply to all cancellations greater than 4 weeks prior to the event or function.
  2. If a booking is cancelled between four (4) and two (2) weeks prior to the event or function 50% of the hire fee will be forfeited.
  3. If a booking is cancelled less than two (2) weeks prior to the event or function 100% of the hire fee will be forfeited.
  4. The Council may cancel any letting already agreed and direct the return of the fees paid and the Hirer hereby agrees in that case to accept the same and to be held to have consented to such cancellation, and to abandon any claim (if any) at law in equity for any loss or damage in consequence thereof
  5. All cancellations or changes to bookings must be in writing.
Key collection and return

The Hirer is to collect and return the key/s to the Council Corporate Centre, at 76 Royal Avenue, Sandringham. Arrangement for collection and return of the key is to be organised through the Council’s Recreation and Events Department. Under no circumstances will the key be handed out prior to receipt of the full fees paid. The key must be collected during business hours, 8.30am to 5pm.

Please note if the key is lost or not returned to Council, additional fees may apply up to $50.

Access prior to the event to view the facility/setup can be arranged upon request.

Use of electronic key system

The electronic locking system SALTO has been installed at all Council-managed sports pavilions to provide high quality security, flexibility and functionality.

You will be issued a SALTO key one day prior to your booking. The SALTO key will be programmed to allow access to the sporting pavilion at your time of hire. You will not be able to use your SALTO key outside of your hired times.

Pavilion Equipment

The Council provides a number of tables and chairs which are available for the use of the Hirer at no additional cost. The Hirer may vary the arrangement of the seats, in conformity with the Regulations of the Department of Health. All equipment must be returned to its rightful place as directed by the Recreation Officer in charge.

AV equipment is available in selected Pavilions. Please refer to your Confirmation Letter for specific AV details.

Signage

The use of any portable, freestanding signs on or above any roadway, footpath or public place without prior approval from the Responsible Manager is prohibited. Please ensure that the display of approved signage does not cause damage to the inside and/or outside of the building by nails, screws, adhesive fasteners or other attachments. Any repairs or cleaning to the building will be billed to the hirer.

Obligations of Hirer
  1. All types of confetti are banned on premises.
  2. No smoking is permitted within the Council Facilities; if the smoke alarm goes off and the Fire Authorities come to the premises the hirer is liable to a $2,000.00 fine.
  3. The use of mist/smoke machines within the Facilities is prohibited.
  4. Alcohol is not permitted to be distributed, sold or consumed within the Council Facilities without the prior consent of the Council and compliance with the requirements of the Liquor License Commission regulations. Any alcohol permitted on the premises must be consumed within the confines of the building. 
  5. The Hirer must make every endeavour to ensure guests park vehicles onsite or in the off-street car parking areas that are available at Council Facilities. All parking of vehicles must be in accordance with the displayed parking signs.
  6. The Maintenance Co-coordinator, Pavilion Keeper, Health Surveyor and any other person whom the Council appoint must not be refused free access to any or every part of the building.
  7. The Hirer may arrange their own caterers, D .J.’s, etc and no consent need be given from the Council.
  8. The permissible noise levels shall comply with the relevant requirements of the Environment Protection Policy. The Hirer is to ensure that their use does not cause any disturbance to the peace and quiet of the neighbourhood and shall request guests to leave the premises in a quiet and orderly manner.
  9. The provisions of the Licensing Acts, the Gaming Laws and all other Acts and Regulations of the State of Victoria must be strictly observed by the Hirer and by all persons using the pavilion, and the Hirer shall be responsible, to see that this condition is observed and will be held liable by the Council for any infringement thereof.

Should an authorised Officer be of the opinion that any of these conditions are not being observed during the period of any hiring and such breach is continued or persisted whether continuously or not, then an Officer shall be entitled to order and enforce the clearing and closing of the pavilion. All moneys paid to the Council by the Hirer shall be forfeited and retained by the Council and no claim by reason of the said clearing and closing of the pavilion.

Cleaning and Maintenance

The premises shall be left in a clean and orderly state. The floor, walls, or any part of the building shall not be damaged by nails, screws, adhesive fasteners or other attachments

In the event that the Facility is damaged or left in an untidy or unclean condition, then the Hirer will be billed for any additional cleaning fee or repairs required up to $5000.

Privacy

Council collects personal information for the purpose of processing your application and ensuring compliance with these terms and conditions. If you do not provide this information, we may be unable to process your application. If you have any queries or wish to gain access to this information, please contact Council’s Privacy Officer on 9599 4444 or at privacy@bayside.vic.gov.au.

  • A $109.65 cancellation fee will apply to all cancellations greater than 4 weeks prior to the event or function.
  • If a booking is cancelled between two (2) and four (4) weeks prior to the event or function 50% of the hire fee will be forfeited.
  • If a booking is cancelled less than two (2) weeks prior to the event or function no refund will be granted.
  • All cancellations or changes to bookings must be in writing. 
  • Council does not waive, refund or negotiate fees after the date of the pavilion hire has passed. 

Our pavilions are only available to be booked between 9:00am and 3:00pm, Monday to Friday. Pavilions cannot be booked outside of these times due to community sport allocations.

 

There is no WIFI available at any of our pavilions.

 

Kitchenette

Kitchenettes are only available at selected pavilions. Please read through pavilion information carefully to ensure you choose a pavilion that suits your requirements.

Fridge

Fridges are only available at selected pavilions and vary in size. Please read through pavilion information carefully to ensure you choose a pavilion that suits your requirements.

Dishwasher

Dishwashers are only available at selected pavilions. Please read through pavilion information carefully to ensure you choose a pavilion that suits your requirements.

Tables and chairs

Tables and chairs are available to use at no additional cost at all pavilions. Please read through pavilion information on specific types and numbers of tables and chairs.

No cutlery or crockery is provided. Please bring you own if you wish to use any.

Food

You may provide and consume food at our pavilions. However, you may not sell food.

Alcohol

You may not provide, sell or consume any alcohol at our pavilions.

You may use the bins available within the pavilion. Any additional rubbish that cannot fit in these bins must be removed and taken by the Hirer.

What is a not-for-profit organisation?

Generally, a not-for-profit is an organisation that does not operate for the profit, personal gain or other benefit of particular people (for example, its members, the people who run it or their friends or relatives). The definition of not-for-profit applies both while the organisation is operating and if it closes down.

Am I eligible for a not for profit discount?

You will need to supply a Certificate of Charity or Not for Profit Status and/or a Letter of Authority to Fundraise. If you can provide this evidence, you will be able to receive a not-for-profit discount on you pavilion hire.
