Open space bookings and permits

If you would like to book any of our parks, gardens, reserve or beaches for a casual event, you may need an Open Space permit.

Open Space bookings are subject to availability and require 10 working days to process.  

 

Before making a booking you should know

  • No park amenities, structures or barbeques can be booked, and obtaining a permit for use of open space does not grant exclusive access to an area. The exception is the Sandringham Band Rotunda, which can be booked for weddings.
  • Sportsgrounds are not able to be booked on a causal basis. 
  • Public space may not be locked or fenced off for the purpose of conducting a wedding ceremony or any private event.
  • With the exception of wedding ceremonies, permits will only be issued for use of open space up to 1 hour before sunset.

A booking for casual use of open space is only required if one or more of the following conditions are met:

  • having a legal ceremony, e.g. a wedding
  • having a gathering of 50 people or greater
  • having a wedding reception or function
  • erection any structure or infrastructure, e.g. marquee or jumping castle
  • if a third party is providing a service, e.g. catering, a food van, children's activities and petting zoos
  • you are holding any commercial activity, e.g. promotions.

Sandringham Band Rotunda

BBQ

No park barbeques can be booked.

Rotunda / Undercover Areas

No park structures, playgrounds or undercover areas can be booked. 

The only exception is the Sandringham Band Rotunda, which can be booked for weddings only.

 

All facilities are available on a 'first in, best dressed' situation. Obtaining a permit for use of open space does not grant exclusive access to an area. 

Sportsgrounds are not able to be booked on a causal basis. If you wish to book a sportsground for school use, please see the Apply to use a sportsground for school form.

Cancellations/Refund

  • All cancellations must be made in writing prior to the day filming was to occur. Notifications of cancellation after the proposed date has passed will not be valid and all payment requirements will still be enforced with no refunds issued.
  • There are no refunds available due to inclement weather.
  • Council does not waive, refund or negotiate fees after the date of the activity has passed. 
  • Council reserves the right to deny or terminate a permit at any time at their discretion.

Description of your activity

A description outlining what is happening on the day: What is the activity or celebration for? Are there any structures or equipment going to be used? Include timings for set up, guest arrival, and pack up.

On location contact details

The name/s of the person responsible for the set up and on-day management must be provided as part of the application process.

Site plan

A site plan can be a simple image of the area you propose to use, as well as where equipment and infrastructure will be set up.

Infrastructure and equipment

A high level list detailing what equipment will be on site on the day of the event, i.e. number of chairs, tables, any marquees or stages. 

  • Maximum 100 chairs, 10 tables, and one 3x3 marquee – if an event is in excess of any of these limits an event permit is required
  • No jumping castles – an event permit is required for any use of inflatable objects
  • No balloons – refer to the sustainability guidelines

Health services permit (if applicable)

If your activity includes catering, you may need to submit a Statement of Trade and a copy of the Caterers Victorian Food Act Registration.

Features and facilities 

Significant garden open to the public from sunrise to sunset. The mansion is privately leased by a school so no entry is permitted.

Suitable for 

Intimate and medium wedding ceremonies, small to medium family and community events.
