Managing club growth and expectations
Bayside continues to experience significant levels of growth in participation and club member numbers for summer sports. These place increased levels of wear and tear on playing surfaces particularly from training activities. Council recognises and continues to support the inclusion of Bayside residents into sports clubs; however, clubs cannot continue to grow and increase member numbers without change to traditional activities.
Clubs should consider very carefully any plans to expand their activities, as Bayside City Council is not likely to be able to support proposed new teams if they cannot be facilitated within similar previous allocations. Strategies to facilitate clubs’ activities include but are not limited to:
- Careful consideration of ability to responsibly grow with facility capacity limitations in mind
- All training activities in accordance with Council guidelines
- The number and duration of training sessions for junior teams
- Use of sportsgrounds during or following significant rainfall
- Limiting training use of high wear areas
- Modified training that is not purely reliant upon on-field activities
With each club’s cooperation and Council’s annual/seasonal ground maintenance program, sportsgrounds will be able to cope with current levels of usage.
It is important that clubs considering increasing team numbers contacts their Recreation Development Officer to discuss ground availability prior to submitting a seasonal application.
Winter seasonal tenancy access

Winter tenancy applications open: late January/February of each year
Winter tenancy applications close: February each year (approx. 2 weeks after opening)
Winter tenancy confirmation sent to clubs in March each year.

Winter season dates
Winter seasons start date: 1 April each year.
Winter season end date: To end of the home and away season.
Winter finals applications
Winter finals allocations to be submitted via email to your Recreation Development Officer and are subject to written Council approval.
Winter preseason dates
Winter pre-season starts: Typically, late January/February TBC

Summer tenancy applications open: Friday 9 August 2024
Summer tenancy applications close: Sunday 25 August 2024
Summer tenancy confirmation sent to clubs in the last week of August, once all compliance documentation has been approved.

Summer season dates
Summer seasons start date: 1 October each year.
Summer season end date: To the end of home and away season.
Summer finals applications
Summer finals allocations to be submitted via email to your Recreation Development Officer and are subject to written Council approval.

Summer Pre-season starts: Typically, late August/dates TBC.

Club must ensure they comply with the following before applying for seasonal allocation:
- Paid any outstanding debts with Bayside City Council.
- A public liability insurance certificate of currency to the value of $20 million.
- An understanding of the seasonal code of conduct.

Bayside Sports Clubs may apply for seasonal tenancy of sportsgrounds and pavilions via the webform below and attach the required documentation.

- Incorporation Certificate
- Annual report including annual financial statement.
- Balance sheet (assets/liabilities).
- Current Food Act Registration. (If your club serves or sells food)
- Current Liquor Licence (if your club serves or sells alcohol)
- Complete Seasonal Hire Request 2023-24 excel form provided (details of days and times clubs require access to sportsgrounds, nets and pavilions)
- Contact details of Club President, Vice President, Secretary, Treasurer and Junior Coordinator
- The number of teams registered – Male and Female in Seniors, Juniors and Masters
- Actual number of players registered – Male and Female, Seniors and Junior
- Postcode survey of registered players
